PURPOSE:

As an Administration Assistant, you will support Youth Frontiers’ operations by coordinating and performing general office tasks and providing support to colleagues in the office and field. You will provide administrative support to all departments, and maintain general office systems.

ABOUT YOUR EXPERIENCE:

  • You have a high school diploma or equivalent skills.
  • You have at least 2 years experience in a traditional office setting.
  • You have above average attention to detail on matters large and small.
  • You are able to work independently, multi-task, and prioritize; and be flexible, adaptable, detail-oriented and self-motivated.
  • You have excellent communication (written and verbal) and relationship-building skills with an ability to work with a variety of internal and external stakeholders.
  • You have knowledge of and competence in computer skills required to perform administrative tasks, including but not limited to typing, email, calendars and you have familiarity with Word, Excel and Keynote presentations.
  • You are able to lift and move boxes and materials of at least 30 pounds.
  • You are able to perform manual tasks, such as move and retrieve equipment and supplies.
  • You are able to sit, stand, crouch and/or walk for significant lengths of time.

KEY DUTIES & RESPONSIBILITIES:

  • You will provide administrative support to Leadership Team consisting of Human Relations/Finance, Donor Relations and Programs in support of the organization’s mission.
  • You will prepare and send both electronic and paper mailings and correspondence.
  • You will schedule meetings and record minutes of meetings.
  • You will perform various filing and scanning tasks, answer main phone line according to schedule, and order and maintain all office supplies and equipment.
  • You will be responsible for coordinating general building maintenance.
  • You will be responsible for maintaining mail systems.
  • You will provide department organization and database maintenance as needed.
  • You will provide committee support where needed (specifically for events).
  • You will provide Meeting preparations for Leadership Team members.
  • You will perform other duties and special projects as apparent or assigned by manager.

This position is classified as regular, full-time (40 hours per week), non-exempt, hourly.
