ROLE OVERVIEW

The Executive Assistant to the CEO will provide high-level executive administrative support to the Director of Leadership Frontiers and Founder and CEO of Youth Frontiers. This support includes conducting research, preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

ROLE RESPONSIBILITIES

  • Manage and maintain the CEO’s active schedule, incoming email and mail correspondence, and the CEO filing system.
  • Work with the administrative team to prepare for and follow up on the CEO’s community meetings and external engagements.
  • Organizing and submitting CEO and Leadership Frontiers expenses.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • File and retrieve corporate documents, records, and reports.
  • Make travel arrangements for CEO and Community Frontiers team.
  • Answer phone calls and direct calls to appropriate parties or take messages.
  • Partner with the Executive Assistant to the President to ensure comprehensive administrative support for the Executive Office and Board of Directors. 
  • Provide backup administrative and office management support when needed. 

Education and Experience

  • Bachelor’s Degree
  • 5 years of experience supporting executive-level individuals
  • Strong verbal and written communication skills, organizational skills, project management skills, ability to meet deadlines and work as part of a team
  • Ability to identify problems, review related information, and develop options to implement solutions.
  • Advanced computer knowledge of the following software:
  • Experience working on a Macintosh computer
  • Word, Excel, PowerPoint, Pages, Keynote
  • Google mail/calendar/documents

Desired computer knowledge on the following software:

  • SalesForce
  • FileMakerPro (FMP)
